
BRIEF NOTES OF VOLUNTEER MEETING MARCH 18TH 2025
1. Winter ‘Season’
Amanda reported this had been a very busy period with very good films and successful events, so the finances are looking more positive. It is likely to slow down now that the Awards season is over.
Martina thanked all the volunteers for their input, as they are vital to the success of ActOne.
2. Toilet Checks
The new system of marking the attendance book to record that the toilets have been checked each shift seem to be working well.
3. Volunteer Numbers
There are 77 volunteer names on the list and we took 21 names off in response to an email. Some people we emailed wished to remain on the list and there are some new additions.
In the last couple of months 35/6 volunteers of the total, have done shifts.
4. Rota Central and regular slots
In an ideal world we would like people to sign up for regular shifts! This is not happening and it means FOH are having to check the rota and send out pleas for help, this usually works and slots are filled. If anyone can commit to a regular shift this would be greatly appreciated.
Yidan is now responsible for sending out the weekly email for shifts. She has been learning for the past week or two.
Please remember to add your shift to Rota Central if you respond to a Whatsapp request.
5. Promotion of Film programme through Whatsapp Groups.
David Thaddeus, a Director of ActOne has been sending the Weekly Programme out for people distribute to their local groups. He produced the diagram below where the RED streets are already covered. If you can help with distribution to a group please let Amanda know.

6. House Seats
There are 12 in screen 1; these are situated at each end of rows A-C where there are TWO each end, making TWELVE in total.
So, if someone has booked the wheelchair spaces by mistake and they would like a seat they can use the House seats in Screen 1. (if that is where they want to see the film!)

7. Popular and Busy films with little time between screenings!
Could we have 2 volunteers at these times? Amanda/ Marina noted this. It is also where a quick request on Rapid response may help.
8. Independent Cinema Office (ICO)
Just to remind everyone that the ICO has the contract for programming ActOne and that there are no longer any links with the RIO cinema.
9. Name a seat campaign
The Name Plates are now attached to the seats and there will be a special screening arranged forthwith.
10. Volunteer Support for Events at ActOne.
Amanda has been getting a list of ‘willing and able’ volunteers to help with furniture for events. It now comes up on Rota Central if appropriate. There may be 2 slots before the event and 2 after but this will vary.
11. Staff alone at Cinema late at night- Amanda said that we have a ‘Lone worker’ policy and procedures are in place to protect staff. This does not apply to Volunteers as there is always a member of FOH present.
12. Telephone contact with the Cinema- this was discussed where people do not have access to the internet and it has been talked about many times. We do not have a Phone number and the issue we have is the time involved with managing it.
13. 4th Year Celebration in October- is a good idea in principle but we have never managed it yet because of the organisation required, and it is also around the time the cinema gets busy again.
14. Weeding and tidying up the area around the Cinema.- will be organised and help requested in the coming months.

You will also be welcome to the Acton Arts AGM – date to be announced soon but this will be May/June.
